In short
- We collect your sign in details, a few facts about your company, a Data Card of totals and the sample files you send.
- We use them to review your archive, reply to you and keep the portal secure.
- An assistant reads folder names to write the description, and every sample file is checked for malware and its real type before our staff can open it.
- You can ask us to show, correct or delete your information at any time.
01Who we are
General Data Labs, Inc., a Delaware corporation, decides why and how personal information is used in the Data Partnerships portal and the browser extension. The words “we,” “us” and “our” in this notice mean this company.
Visitors and companies are covered. If you act for a company, this notice also covers the people whose details appear in the files you send.
02What we collect
We collect the following, depending on how you use the Service:
- Account information: your email address, and your name if you sign in with Google.
- Company information: the company name, the web domain of your email address and the country.
- The Data Card: totals measured in your browser, such as the number of files and folders, their size, formats, years and languages, labels for groups of folders, a description of the archive, the countries it covers, where the files are kept and your answers about rights and personal data. It holds no file contents.
- Sample files: the files of your sample, about 200 at most, with their names, their place inside the archive, their size and a fingerprint of each file. The portal picks them from your folders and you can remove any of them. They can contain personal information about other people.
- Check results: for each sample file, whether it arrived intact, whether it could be checked for malware, whether malware was found and whether its real type matches its name. A file that carries malware or is a program or a script is deleted. Any other file that fails stays closed to our staff. You see each failed file listed with the reason.
- Extension readings: record counts, storage totals, the short quote from the page that shows a figure, the address of that page without its query and the account address the tool shows. The Extension privacy notice has the detail.
- Messages: emails you send us and our replies.
- Technical information: your IP address, browser and device type, the pages and actions in the portal, the version of each document you accepted and error logs.
03Where it comes from
Most of it comes from you. The totals are measured in your browser from the folder you drop. Some information comes from Google when you sign in with it, from the extension working in your browser at your request and from the service providers listed below.
04The assistant
To write the description of your archive, an automated assistant reads the names of your folders, with the number of files, the main formats and the years of the files in each folder, and the totals of the archive. It never reads a file name, and it never reads the contents of a file. This passes through our servers to a model provider, which returns a suggested description and labels for groups of folders. You can change both before you send anything.
We send nothing else, and we choose providers whose terms do not let them use what we send to train their models.
05Why we use it
We use personal information for these purposes. Where the law asks for a legal basis, it is shown after each one.
- To create and secure your account and run the Service. This is necessary to perform our agreement with you.
- To review your Data Card and your sample and to reply to you. This is necessary for steps before a contract and serves our interest in reviewing what companies share.
- To check each sample file for malware and its real type before our staff open it. This serves our interest in a safe Service.
- To send you the receipt of what you shared and the replies to it. This is necessary for the contract.
- To keep the Service secure, prevent misuse and fix errors. This serves our interest in a safe Service.
- To keep tax and accounting records and to meet legal duties. This is necessary for our legal duties.
- For anything that needs your consent, we ask first, and you can withdraw it at any time.
06How we handle your files
The Data Card and the sample are not your full records, and our staff can open the sample files you send.
A written agreement comes before any transfer of your full records. Under it, we replace every name and identifier in the records before they are used, and the agreement says who may see them and for how long.
07Who receives your information
We give information only to those who need it for the purposes above:
- Our staff and advisers, under duties of confidentiality.
- Service providers that process information for us, in these categories. Hosting and file storage runs the portal and keeps the sample files. A database provider stores account and company information. An email provider delivers messages. A screening service checks the sample files for malware and their real type. A model provider reads folder names, with file counts, formats and years, for the assistant.
- Accountants, insurers and other professional advisers.
- Authorities, when the law requires it.
- A successor, if we merge with another company or transfer our business, bound by the same promises.
- Anyone you ask us to share with or approve in writing.
We do not exchange personal information for money, and we do not use it for advertising.
08Where information is processed
Our database, application servers and screening service run in the European Union. We are based in the United States, and our staff and providers may reach information from there and from other countries. Where the law requires a safeguard for a transfer, such as standard contractual clauses, we put one in place.
09How long we keep it
We keep your account while it is open. We keep the Data Card and the sample files until you ask us to delete them, or until a written agreement between you and us sets another period. A file that carries malware or is a program or a script is deleted at once. Any other file that fails a check stays closed to our staff, and we keep it like the rest of your sample until you replace it or ask us to delete it.
After that we keep only what we need to meet legal, tax and accounting duties and to defend legal claims, and then we delete it or anonymize it. Extension readings stay with your company until you delete them or the account closes.
10Your choices and rights
You can ask us to give you a copy of your information, correct it, delete it, restrict how we use it, stop using it or send it to another provider. If we use it with your consent, you can withdraw consent at any time. You can also complain to the data protection authority where you live.
If you live in California, you have the rights that California law gives you, including to know, delete and correct, and not to be treated worse for using them.
To use a right, write to us from the email address of your account. To delete an archive and its files, reply to the receipt email or write to us, and we confirm when it is done. We may ask you to confirm who you are, and we reply within the period the law sets.
12How we protect it
We encrypt information in transit and at rest and log staff access. A company's information is visible only to its own members and to the few staff whose work needs it. No system is perfectly secure. If a breach affects you, we will tell you as the law requires.
13Information about other people in your files
Files can name employees, customers and contacts. By sending them you confirm that you may share them, and we use that information only to review your archive. A person named in a file can write to us to use the rights described above.
14Children
The Service is for people who are 18 or older. We do not knowingly collect information from children.
15Changes to this notice
We may update this notice. Each version has a number and a date at the top. If a change matters, we will tell you by email or in the portal before it applies.
